    Go through the five rules out loud, ask what's missing, and have everyone sign the bottom.

  3. Post it and revisit

    Put it where people work. Update it whenever you add a new tool or something goes sideways.

Is AI dangerous for my business?

The bigger risk isn't AI taking over. It's someone on your team pasting a customer's private details into a chatbot, or sending out something AI got wrong with your name on it. Clear house rules handle both.

Do I have to tell people when I use AI in my ads?

If your ad shows an AI-generated person who isn't a real, recognizable human, New York requires a clear disclosure, and that applies to every business, not just certain industries. Even where it isn't required, telling people up front builds more trust than getting caught.

Do I need a paid AI plan to do this?

Is this a legal policy?

It's a plain-language team agreement, not legal advice. If you're in a regulated field like healthcare, finance, insurance, law or real estate, have your attorney or compliance person look it over before you roll it out.

How often should I update it?

Any time you add a new AI tool, any time something goes wrong, and at least every six months. AI changes fast and your rules should keep up.

What if my employees already use AI without telling me?

Assume they do. Lead with the house rules, not with blame. Most people want to know where the lines are, and this tells them.
